Hospitality & travel

Guests answered in their language, at any hour.

Guests book through three or four channels, then message from all of them: check-in time, parking, a late arrival, the Wi-Fi password, the tour pickup point. Behind that sit a booking engine or property system, a channel manager, a cleaning schedule and reviews on every platform.

Red boxes and dashed lines are done by hand. Calendars usually sync fine; guest messages, cleaning schedules and owner statements are where small hotels, rental managers and tour operators lose their evenings.
Where time goes

Sound familiar at the front desk?

A small guesthouse at night under a crescent moon, one lit window and a phone on the doorstep glowing with a message in Portuguese.
  • The same question, four apps"We answer 'what time is check-in?' every single day, on four apps."
  • 2am, in Portuguese"Messages come in at 2am, in Portuguese."
  • The surprise late checkout"The cleaner found out about the late checkout when she knocked."
  • Two days of owner statements"Owner statements take me two days every month."
  • Three reviews, one shower"Three reviews mention the same shower, and nobody connected them."

The busy season makes all of it worse at once, and that's when there's no time to fix anything. The best time to build is the shoulder season.

A week with it working

A 12-unit rental manager in high season.

A turnover board on a laundry room wall with unit cards marked clean, in progress and late checkout, beside a cleaning cart.
  • Friday nightA guest asks in Portuguese where to park. The answer comes from the house manual, in Portuguese, in seconds.
  • A late checkoutA late checkout is approved with one tap, and the cleaner's list moves that unit to the end of the day.
  • A broken lockA guest reports a broken lock. It goes straight to a person, with the unit and booking attached.
  • The first of the monthEach owner's statement is drafted from the payouts. The manager checks it instead of building it.
Similar work

Two languages, and channels we checked first.

The site we built for Conception Design switches between English and Spanish on every page, quote builder included, and its cookie choice is a real gate: decline, and the map never loads. A direct-booking site needs the same care.

Before building any messaging for ourselves, we researched the channels. WhatsApp has no unofficial shortcut we'd use, so we only build on the official WhatsApp Business Platform. And the books we built for our own company assemble themselves from records and check themselves daily, which is how we'd approach owner statements.

Questions

About guest messages.

Will the assistant handle refunds and complaints?

No. It answers factual questions from information you approved. Complaints, refunds, damage and anything about money go to a person, with the conversation attached.

Does it work with our property system?

Most booking engines and channel managers can share reservations. We check yours during the first call and tell you plainly what connects and what doesn't.

Shoulder season is for fixing things. Let's pick one.

The first call is free. Bring last month's guest messages; they tell us most of what to build.
