The front desk and the back office, lighter.
Clinics, practices, labs and med spas run two days at once: the clinical day, and the paperwork day around it. We work on the second one (calls, reminders, intake, shipping, statements, the website) and build so patient details stay where they already live.

Customer systems, at work.
Sound familiar at the clinic or lab?

- A phone that never stops"The phone rings all morning with bookings and reschedules."
- Paper forms, retyped"Patients fill in paper forms and we type them into the system."
- "Where's my case?""Where's my case?" from the practice, and "Did the lab ship it?" from the patient.
- Labels typed by hand"Someone types every address onto a courier label."
- A website out of date"Our website still shows last year's hours."
Carlos Ceramics Dental Lab, North Miami Beach.
A family dental lab that makes crowns, dentures and implant work for dental practices. We started with one slow step and kept going.
- First build
- Courier labels that print with the invoice
- Then
- Practice records synced into the CRM
- Then
- A rebuilt website, launching soon
- Rule throughout
- Case and invoice numbers, never patient names
LabelBot
Staff print the invoice as before; the courier label prints with it, one label per invoice, guarded by a ledger. 628 labels in its first four weeks, an estimated 34 to 57 hours of typing. 130 automated tests and four review rounds before go-live.
Read the case →Practice records
324 practices matched and written into the lab's CRM, 3,244 field updates, nothing overwritten. Fields patients can fill in were put on a permanent do-not-write list.
Read the case →The lab's new site
All 88 old addresses still work, the home page went from 8.1 MB to 4.4 MB, and dentists get step-by-step guides for 8 scanner systems. Forms ask for no patient details.
Read the case →What we touch, and what we don't.
We don't claim HIPAA compliance for anything we build. We design so we don't hold patient information at all, and your compliance lead decides what's allowed.
| Where | What we use | What stays out |
|---|---|---|
| Shipping labels | Invoice number | Patient name |
| Website forms | Practice contact details | Any patient details |
| CRM sync | Practice records | Patient-submitted fields |
| Courier access | Registered to the lab | Nothing held by MUVES |
For a clinic, a practice or a lab.
At a two-location clinic.

Saturday, Monday's patients get a reminder with a reschedule link, so gaps open early enough to fill. Calls after 6pm are answered and booked; anything clinical becomes a callback task for the nurse. New-patient forms arrive filled in online and land in the system. Friday, the manager sees which referring offices have gone quiet, and calls them.
From practices and labs.
Will you sign a business associate agreement?
We design our work so we don't receive patient information, which is how the lab's courier access ended up registered to the lab, not to us. If your project can't avoid it, we say so in the plan and you decide with your compliance lead.
Does it work with our lab or practice software?
We start from what you already print or export. At the lab, LabelBot reads the invoice the lab already prints; the only change for staff was picking a different printer.
Clinic, practice or lab? Show us the paperwork day.
The first call is free, and no patient data is needed to have it.
