Quotes and contracts that keep up with inquiry season.

Event work comes in waves: spring weddings, graduation, the holiday rush. Each inquiry needs a date check, a headcount, a quote with a dozen line items, a contract, a deposit and a run sheet, and then the final count changes three days out.

Where time goes

One event, six places it slips.

Venues, planners, party and tent rentals, DJs, photographers and caterers each own a slice of this, and all of them chase the same answers.

StageWhat it sounds likeWhat we'd build
Inquiry"Is Saturday the 14th open for 120 people?" Asked by form, Instagram and phone, all week.A guided form that checks the date and returns a starter quote: Online quotes & booking
Quote"Every quote is a copy of the last one, with the old date still in it."Quotes assembled from your packages and price list: Internal tools & admin panels
Contract and deposit"I'm chasing signatures and deposits by text."Contract, deposit link and reminders in one flow: Invoicing & payment reminders
Final count"The headcount changed and the caterer never heard."One change sent to every vendor on the event: Workflow automation
Event day"Which run sheet is the right one?"One event page for staff and vendors: Order & job trackers

A week with it working

Peak week, for a rental company.

  • MondayWeekend inquiries are waiting as complete requests: date, guest count, tent size, delivery ZIP. Each already has a starter quote.
  • TuesdayThree clients sign and pay deposits from the same link. Their dates move from "held" to "booked" on their own.
  • WednesdayA tentative hold with no deposit expires under the rule you set, and the date opens again.
  • ThursdayA planner raises the count from 120 to 140. The extra tables, chairs and linens are added to the pick list and the delivery crew sees it.
  • SaturdayCrews work from one page per event. Sunday, the thank-you and review request go out.

Package builders and delivery zones, already built.

A tent rental package builder on a laptop with guest count, add-on tiles and a delivery ZIP field, a folded tent sample beside it.

The quote builder for Conception Design, a sign and print shop, walks customers through service, item, quantity, placement and artwork, then shows a recap before sending. An event package builder is the same shape: date, guests, package, add-ons, recap.

The online store for Custom Dental Solutions asks for a ZIP code on the first visit and shows a delivery estimate. Rental companies need the same thing for delivery zones. That store is built and launches once the seller's payments are set up.

Questions

About holds and dates.

Can it hold a date automatically?

Yes, as a tentative hold that expires unless a deposit arrives. You set how long a hold lasts and which dates never auto-hold, such as peak Saturdays.

What about events booked through a planner?

The planner gets their own link to the same event page, so counts and times change in one place for everyone.

Before the next wave of inquiries, let's fix the quote.
